One of the most challenging jobs on- and off-campus has got to be director of residence life activities and its many title variations. It sounds like lots of fun and probably is when done right, but think of the challenges here – Wrangle up college students to participate in activities against a backdrop of toga parties, sporting events, tailgate parties, classes, labs, after-parties, jobs, internships, and sometimes they go to parties. A lay-person might think the best solution is to just have another party, but there are 3 distinct challenges with that idea: 1 – parties are expensive, 2 – parties are messy, and 3 – they do not achieve anything substantial at the end of the day (or night)… and the challenge ensues.

Transitioning to independence

The primary goals of residence life professionals according to Selected Works is to “increase student retention and graduation rates [and] foster student learning,” in addition to transitioning young adults into independent (or at least quasi-independent) college life, integration of students into the on-campus social infrastructure, and diversify the college experience, so traditional parties are just not going to cut it. Hence programming was born, but with all of the distractions surrounding the college experience keeping students engaged each year is an ever evolving problem. Programming was pretty standardized for a long time, with many of the same types of games and social gatherings  repeated year after year, but todays college students have incredibly short attention spans, so staying relavent and interactive is critical.

Ice Breakers to get you started:

  • The Artwork: This game can be done 1-on-1, but is better with groups of 3 or more. Have the groups pair up so that every group has a pair. One group is the Artwork and the other the Artists. It is the Artists’ role to shape the Artwork like clay (for about 5-8 minutes) and give a tour of the artwork and what it represents. 
  • Eye Contact: This game can be done with any number of people. Have the participants stand in a circle and on a specific cue have the participants look up at anyone other than the individuals to their immediate right or left. If eye contact is made during any of these rounds, participants must step our of the circle. Once it gets down to 5 or less, the “immediate right or left” rule no longer applies.
  • Psychic Ten: Sitting in a group with eyes closed, try to count to 10. Only one person can speak at a time, so if more than one speaks, they have start over.

An out-of-the-box idea:

  • 5 to 15: This is an ongoing game that can be used to reel in some of the less enthusiastic ones. This game involves some kind of incentive and some way to digitally communicate with your students. Send an email, facebook message, DM tweet, or text-message with a password to someone in your student housing community with two options – 1 they have 5 minutes to come directly to the office or 2 they can forward the message to a friend/roommate to do the same within 15 minutes. If they arrive on-time, they get some incentive/prize – like free lunch, discount coupon, cool earbuds, etc. 

There are a lot of challenges for those that work in reslife, but in the end most feel its worth it. Here’s to you Reslifers!

Are online classes the next big move for university education?  There is a growing trend for online classes and workshops and students of all ages are taking advantage. Online platforms like Coursera and Khan Academy  have received favorable reviews and are seeking options for course credit options for the classes they currently offer and new classes moving forward. Online colleges like University of Phoenix have already made it possible to receive your entire education online, and now traditional universities are looking at that model.

How it affects student housing…

There is still nothing like physically attending a classroom, discussing course material with classmates, and asking the professor to clarify some confusion. However, with the economy waning and the cost of education going up, it’s no surprise that there is a trend for university classrooms to be hosted on the cloud. What would that mean for student housing, if students could get their education from home? Currently, admission is up, so there is little expectation for the moment for student housing to wane. However, if cloud-based university credits take hold, there is a real possibility for traditional enrollment to ebb enough to have an impact on the student housing industry. Only time will tell… For the moment student housing is a booming industry, but keep an eye on the horizon, just in case. No one want to get caught with an empty property or worse a half-built property without an exit plan.

NO LOVE: Why the Post Office Hates Your Student Housing Property

On this Valentine’s Day, the focus of today’s blog will be on why the Post Office has perfectly legitimate reasons for not playing nice with your student housing property. If you think you have reason to hate them, that list is likely a whole lot shorter than theirs. Its not that the Post Office actually hates your property, the problem is that its just costly and a logistical nightmare for the US Postal Service to manage mail to transient properties designated as Single-Point Delivery properties. Unfortunately, that means you are left with the burden of sorting and final delivery of mail.

They don’t have it out for you

Its also important to emphasize that while the US Postal Service is technically an independent agency that does not receive any tax revenue, it is still subject to Congressional approval. As anyone can imagine, this hinders the ability for the Postal Service to be nimble and creative to better address these types of issues effectively. Imagine being a business that has to wait for Congress to make a decision about changing your hours of operation.

Understanding makes all the difference

To get a better understanding of the issues, here are some of the issues from the Post Office:

  • Transient residents - The USPS absorbs huge cost by servicing properties that experience a high turnover in residents, especially give that the USPS does not collect a fee for the forwarding of mail.
  • Mail box maintenance - When the USPS provides physical mail boxes with the intent to provide full service they are required to absorb the costs associated with maintaining the mail boxes. This may include parts, repairs, work hours, name tags and sleeves, etc. 
  • High volume of packagesWhen the USPS offers full service they must attempt delivery of all packages and items requiring signature or postage to the resident’s door.  In most cases delivery can not be completed because students are not traditionally home during typical delivery hours, which makes this process a very expensive aspect of service given the USPS employee is typically paid hourly for a non productive task.
  • Excessive Customer Service issues - The USPS must dedicate costly resources to assist customers (in lobby, by email and by phone) for issues that are more often than not have little to do with USPS.  Customers are usually trying to locate an item that is simply not yet available.
  • Often inefficient modes of delivery, especially on campus - Delivery to on campus locations can be among the most costly for the USPS as there are time consuming obstacles associated with these deliveries.  Delivery managers are accountable for productivity indicators such as SEI (Street Efficiency Indicator). On campus (and many off campus) student housing are among the most inefficient deliveries that have a negative impact on SEI.
  • High management turn over on property - USPS supervisors and managers are generally not able to enjoy a sustained business relationships with property management staff on student housing properties due to the high turnover.  This makes long term and repeat problem solving much more complicated for USPS staff.
  • Storage during holiday season and summer - Most USPS facilities barely have room for normal hold mail and parcel awaiting pick up.  Student housing properties can have far greater needs for storing these items during semester changes, holidays and summer months.
  • Increased workload at peak times – USPS staffing does not have the ability to compensate for explosive volume increases.  these increases occur at new semester starts, after holidays and other key times during the year.  The increases impact entire operations and cause processing and delivery delays for unrelated properties.
  • Easy operational cost recovery for USPS - When a Postmaster correctly identifies a property as SPD that Postmaster is able to recover costs compared to full service delivery.  These are far reaching costs that can even multiply as a new property fills to capacity and generates more transient volume.
  • Employee complement control - New properties and new deliveries quickly translate into additional line items such as staff, fuel, vehicles, etc.  There is plenty of incentive for a local Postmaster to select Single-Point Delivery over full service when the property fits the criterion. 
  • Dollars and cents – Rural carriers are paid according to number of deliveries. A 1000-bed property equals 1 delivery for a rural route as Single-Point Delivery property. The same property as a full service property equals 1000 deliveries, which can equal an entire route in some cases. With so many budget cuts and limited capacity to adjust product and service fees, USPS makes use of whatever it can to keep solvent. 
  • Delivery often complicated (or impossible) during game day activities (on and off campus) - Game day and many other on and off-campus activities make delivery complicated, costly and often impossible.  

Hopefully, this clarifies some of the issues the Postal Service deals with relating to Single-Point Delivery properties. Remember, its not the postman that delivers the mail that has designated your property as a Single-Point Delivery property… s/he is, after all just the messenger.

Outsourcing Tips: Its Supposed to Cost Less

This is a question that has been at the center of many discussions between many CFOs and COO. Outsourcing has historically been a reasonable option for cutting expenses while receiving the same service. Assuming, of course, you are actually getting the same service. From a strictly financial perspective, its clearly the way to go. However, many argue that private corporations are notorious for paying lower wages and offering diminished benefits to their staff as compared to their university counterparts. This can all impact performance, which is at the end of the day, really what’s important. There are a few things you can do to ensure the best possible choice when considering outsourced services.

The bidding process can be a crutch

Bidding is just a numbers game, so make sure its not your primary focus. Sometimes the cheaper option actually is better, but most of the time you get what you pay for. Companies that offer their employees better wages, benefits, and incentives are going to be a little more expensive, but their staffs will likely be happier and more productive. Texas State has worked out a deal with a local building maintenance company whose salary and benefit structure is substantially less than that of Texas State. For this reason the university is now reconsidering those plans for outsourcing services claiming that “it takes two to three times as many (outsourced) custodians to complete the work of one Texas State employee.”

Would you hire new staff without an interview?

Interview your options like you would a potential new employee. This is an under-utilized technique, but can prove fruitful, giving you a better understanding of the company’s culture. Even a multiple interview process may be worth your while, since this may be a longterm arrangement. Come up with some important questions that relate to your needs, as well as as some scenarios that you have experienced. This part of the process should give you lots of information, before you move forward with this vendor.

Who the heck hired this nightmare vendor?

Check references. Check references. Check references. With the ability to communicate so easily across multiple platforms, why anyone wouldn’t check the references of a significant 3rd party service provider is baffling. A simple email should be enough to inquire about a client’s experience. Ask an assistant or intern to do it, just find a way to check at least 2-3 references. If the vendor is great, no worries, but if they are a nightmare, this will at least relinquish you from sole responsibility of hiring them having checked their references. Be wary of any company giving you a hard time with this very necessary practice.

Outsourcing services away from your operations is a big deal and the greatest of care should be taken when contracting a company to provide services. Standard pay and benefits for their employees, company culture, and how they run business is either going to be a benefit or a burden, so make sure it really is a win-win all around. Its supposed to cost less and not be a headache, so if neither are true, then you need to reconsider that relationship.

Postal Service Stops Mail Delivery on Saturdays

In an attempt to cut over $2 billion from their budget, the United States Postal Service has announced that they will no longer be delivering regular mail on Saturdays, beginning August 5, 2013. However, they will continue to stay open on Saturdays to handle the ever increasing number of packages now dominating their delivery routes. This is primarily due to the 14% increase in package volume since 2010 and projections for strong package growth in the coming decade, according to the PCC Insider. This moves comes as the Postal Service continues to face challenges trying to stay solvent and competitive in the mail and package delivery market.

70% of people approve

The Postal Service has unsuccessfully proposed a five-day delivery schedule in previous years, so this seems to be a pre-emptive announcement in an effort to push Congress to pass the measure. The Postal Service, while an independent agency that receives no tax dollars to operate, still requires congressional approval to make such a move. According to market research from both the Postal Service and major media outlets, 70% of people approve this service shift, which is what the Postal Service will likely leverage to affirm their position.

Legislative approval from the 113th Congress is what the Postal Service is waiting to hear. Having already slashed about $15 billion from their operating budget since 2006 (source PCC Insider), while continuing to provide uninterrupted service should be a compelling argument to allow this mail delivery shift.

Volume will be overwhelming

Single-point delivery designated properties like military and university housing are expected to be impacted with higher volumes of mail on Mondays and with the continued increase of package deliveries throughout the week. Both FedEx and UPS have seen a 14% increase in package volume since 2010, partially attributed by the 16% increase in online shopping since 2011 with projections expecting to increase by about 7% every year through 2016. If it was busy before, then this shift combined with high overall package volume, properties can expect some additional challenges with this unprecedented move by the Postal Service.

Building Relationships Beyond Social Media

Social media has become the “go-to” technology to develop relationships; however, while social can be most definitely quantified, the quality of those relationships can end up superficial. There is still an art to personal interaction that continues to persist in industries like Student Housing and Multifamily, as well as other industries. Exposing oneself to these opportunities is well underrated and has in recent years taken a back seat to social media. There is no doubt that social media an amazing tool for cultivating relationships, but these industries decisions are not made on Facebook, Twitter, or LinkedIn, but rather in person. Human interaction still rules business, social just makes it easier to cultivate those interactions. 

Get involved

There are always opportunities to get involved within your industry locally, nationally, or internationally, it just a questions of which will work best for your business goals. Joining industry associations or local civic organization are a great way to get recognized, so long as you actually attend meetings and participate. Many professionals will become members to these organizations and either not attend events and activities, or do the least necessary to keep their active status. It does no one any good to be a part of something and not participate. 

Learn something new

Workshops and seminars that are relavent to your needs are a good way to both learn something and interact with others in your industry. Not only are you learning the latest trends, but others in your industry see that and begin to associate you as a knowledgeable professional who is continuing to hone his/her craft. If you have the knowledge and expertise, presenting a workshop or seminar is even better as it establishes you as an expert in your field and instills confidence in those thinking about doing business with you. 

Share your expertise

Without a doubt, social media is by far, one of the best tools in your arsenal for building relationships and you would be foolish not to use it to develop the future of your business. However, direct personal interaction can galvanize your authority within your industry. So, if you have the time get more actively involved, if you have need to learn attend your industry workshops, and if you have the expertise share your knowledge with others. Your business will thank you.

Tech Trends 2013 Student Housing

Tech Trends 2013There has been a substantial increase in college students using technology as a part of their college experience, with 73% of students stating that they can’t even study without technology as noted by Property Management Insider.  Technologies to improve efficiency and the resident experience continue to increase day-by-day in this sector, which is poised to change the landscape over time. According to MFE Student Housing, there are three technologies to pay attention to in the student housing sector.

Facebook integration with applications like SmartClick, “an online account portal which allows students and parents to pay rent electronically, view their tenant leger, and make service requests,”  as expressed by Derek Mearns, Associate Editor at Multifamily Executive and Apartment Finance Today magazines. The laundry experience is catching up with times with Heartland Payment Systems Campus Solutions introduction of the Waverider system, the “company’s WaveRider system allows students to pay for each load of laundry using a debit card instead of cash or quarters.” With additional features like mobile communication integration, your laundry will now tell you when its ready.

The last tech innovation to look for relates to security. Derek notes that “Recent advancements in near field communication (NFC) technology and radio frequency identification (RFID) have made it possible to unlock your door by just sending a signal from your mobile phone to an electronic lock receiver.” With over 90% of the Arizona State University students wanting to use this “virtual key” system and NFC chips becoming a standard in smartphones according to his findings, and an estimated 5.14 million students expected to be college bound by 2014 its no wonder why this technology is a highly anticipated trend.
